Data Backup Advice

If you haven't yet made a New Year’s resolution, we would suggest that for your own peace of mind you check that you have a robust back-up regime in place, that it is up to date and is monitored regularly to ensure it is working. 


A popular back-up scheme, which most IT administrators will be familiar with, is the Grandfather-father-son backup rotation schedule. Using this schedule, incremental back-ups are performed daily whilst full back-ups are performed weekly and monthly to allow the retrieval of data over an extended period in case of undetected disc errors.  

We strongly recommend that the back-up is done to an external data source, stored off site, as this will help you if your server is stolen or destroyed in a fire. If anything were to go wrong, without a back-up plan in place, the costs and time implications of getting everything operational could have a paralysing effect on your business. 

Please choose the product you use below for advice on backing up your data.


VebraLive 


We recommend you ask your IT company to set up a daily backup, all data will be held in the VebraLive folder on your server.


What we do to support this process


We automatically set up a process to back-up your database using the following criteria, but you must monitor this to make sure it is working: 


Backup Location: \\[servername]\vebralive\epwan\psglive\backup
Filename: vebralive.bak
File Size: Will increase in size every day           
Other: The backup location will hold 7 days worth of backups.  The most recent is called vebralive.bak     


We would also advise that you backup the whole \EPWAN folder and it’s contents once a week, as this contains Pictures, Templates and Letter histories. This folder can become very large. 



Solex 


We recommend you ask your IT company to set up a daily backup of all the data held in the Homeview\Branch? folder on the server. The path to the data can be checked in Solex by going to "Utilities" then "Company details" and following the path. 


What we do to support this process


We recommend the following files are checked as having been backed up on a regular basis. It might also be prudent to check that the files not only exist and are current but also that they can actually be restored:

Backup Location: We would recommend that the files are backed up to an external source which is ideally kept off site e.g. tape drive/DVD/external drive so that in the event of a problem on the server/theft/fire that the backed up data is not affected at the same time
File Name: All files in this folder and subdirectories
File Size: Will increase in size every day            



Estatecraft 


We recommend you ask your IT company to set up a daily backup, all data will be held in the Craft folder on your server. Depending on the style of backup, there will be one folder which may not be able to be copied - craft\sqldata - some back ups may be able to take a “snapshot” of this folder - others will require the SQL services to be stopped. If the below is backed up and running, then the SQLData folder although recommended, will not be necessary.

What we do to support this process

We will set up a process to backup your database using the following criteria, but you must monitor this to make sure it is working:

Backup Location: \\[servername]\craft\backup\estatecraft
Filename: estatecraft[date\time sequence].bak
File Size: Will increase in size every day        
Other: The backup location will hold 7 days worth of backups.  


GMW


We recommend you ask your IT company to set up a daily backup of all files held in the M:\GMWS4S\ folder on the server. (Where M: is the drive mapping to the shared folder).

What we do to support this process

Backup Location: We would recommend that the files are backed up to an external source which is ideally kept off site e.g. tape drive/DVD/external drive so that in the event of a problem on the server/theft/fire that the backed up data is not affected at the same time.
Syncronisation: If you actively use IBC Manager to share data between offices, then a complete copy of your data and supporting files will have been sent to all other offices. In the event of server failure, we would look to recover the data from one of these active offices. However to save time, supporting files such as PDFs and Photographs can still be recovered using your local backup. *Do not solely rely on IBC Manager as your backup policy.
File Name: All files in this folder and subdirectories       
File Size: Will increase every day
